Description

Under the direction of the District Administration, the Activities Director (AD) will plan, direct and review the activities and operations of student activities and student organizations for Bethany Public Schools. The AD will provide a student activities program that meets the educational and social needs of students and in relation to the school and community. The AD will coordinate all OSSAA programs and evaluate coach and activity sponsor performance. The AD will create a vision for all activity programs and ensure this vision is carried out. The AD is the point of contact for parents who have questions or concerns about Bethany Public Schools activities that have not been addressed by the coach or sponsor of their child’s activity.

DUTIES AND RESPONSIBILITIES:
Create a vision for the growth and development of all students and their respective activities including but not limited to: fine arts, intramurals, athletics, clubs, etc.
Use and analyze data to assess program effectiveness.
Develop relationships with all activity staff and develop a positive culture in the activity programs.
Complete yearly evaluation of each head sponsor, which provides both positive and constructive feedback.
Ensure that all sponsors develop student character and a positive culture within their programs.
Develop a schedule for each activity in conjunction with the lead sponsor of that activity and attend activities.
Lead activity staff (Sponsors, Athletic Facilitators, Athletic Administrative Assistant) in the process of scheduling facilities for practices, games, concerts, recitals and other events.
Provides for planning and implementation of activity awards programs and awards assemblies and serves as the director of special events for any student activity including but not limited to: district contests, regional contests, state contests. etc.
Coordinate all activity schedules with school administration and the conference athletic director committee for athletic programs.
Engage in conflict resolution between the sponsors and any/all involved parties when conflicts arise. The AD serves as the primary contact to resolve any potential conflict that cannot be solved by the staff of the activity.
Assign and supervise all athletic facilitators, athletic administrative assistant, and workers for all activities and athletic contests.
Examine all activity venues to ensure they are safe and ready for use.
Assist activity sponsors with the technical aspects of their obligations – budgets, constitutions, financial procedures, fundraising, publicity, transportation; offer assistance in planning their activities, and organize Final Forms. Oversee preparation of cash boxes and have tickets, stamps, etc., and manage game entrance procedures.
Arrange for payment of all game officials as needed in conjunction with the head coach of each sport.
Schedule a physical examination clinic for all athletes.
Lead activities staff (Sponsors, Athletic Facilitators, Athletic Administrative Assistant) in maintaining all of the proper participation forms for each student for their respective activities in any online platform required for the activity.
Work with sponsors and the principal to ensure the eligibility of each student is certified prior to participation in competitive activities.
Work with the principal and the school resource officer (SRO) to secure law enforcement officers to provide security for athletic contests as necessary.
Encourage the attendance of sponsors/coaches to attend professional development.
Foster good community relationships and serve as public relations liaison for all routine news media requests related to activities and for the community. This includes communication in regard to: activity postponement or cancellation to the sponsors, administration and community due to weather or other factors, and promote communication between sponsors, families, students, teachers and administrators.
Coordinate the preparation for all home contests and events in conjunction with athletic department staff and the coaches of each sport and supervise or direct cleanup after contests.
Ensure compliance with all SDE, OSSAA and NFHS rules, and ensure all sponsors are aware of OSSAA and NFHS rules applicable to their sport and communicate expectations to activity sponsors.
Submit work orders for necessary facility repairs or routine maintenance in a timely manner.
Manage and oversee rental agreements for use of facilities by outside groups.
Coordinate committees for hiring sponsors which may include parents or community members.
Recruit and screen all applicants for sponsor positions and make recommendations to the site principal for hiring.
Serve as liaison between the school district and the athletic trainer.
Perform all other duties as assigned.

Required Qualifications A bachelor’s degree and Oklahoma Teaching Certificate required. A minimum of 3 years teaching experience is preferred, and a minimum of 3 years coaching experience at the high school level is preferred, and a minimum of 2 years of administrative experience is preferred. Have or acquire a CDL with bus driving endorsement.
Preferred Qualifications Master’s Degree preferred.
